Circle of Consciousness & Happiness (“COCH,” “Circle,” “Organization,” “we,” “our,” or “us”) respects the privacy, dignity, autonomy, and personal choices of every individual who engages with our programs, services, events, educational initiatives, website, community circles, workshops, conferences, retreats, and awareness-based activities.

This Privacy Policy explains how we collect, use, process, retain, disclose, publish, archive, and otherwise handle information obtained through our website located at circleofconsciousness.org and through participation in activities conducted, sponsored, facilitated, organized, authorized, or supported by the Organization.

By accessing our website, registering for any program, attending any session, participating in any event, communicating with the Organization, submitting information, or otherwise interacting with us, you acknowledge that you have read and understood this Privacy Policy and consent to the practices described herein.

ABOUT THE ORGANIZATION

Circle of Consciousness & Happiness is a California Nonprofit Public Benefit Corporation organized and operated exclusively for charitable, educational, and public-benefit purposes and recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code.

OUR PHILOSOPHY REGARDING PRIVACY

The Organization exists to provide educational, awareness-oriented, reflective, community-building, and public-benefit opportunities. Many participants voluntarily engage in discussions concerning personal experiences, observations, reflections, learning journeys, and awareness-based exploration.

We recognize that such information may be personal in nature. At the same time, the Organization functions as a community-based educational environment in which participation often involves voluntary interaction with others.

Accordingly, participants should carefully consider what information they choose to disclose in any group setting. The Organization cannot guarantee that information voluntarily shared with other participants will remain confidential.

Each participant remains solely responsible for determining the nature and extent of information they choose to share.

ELIGIBILITY

The Organization’s website, programs, conferences, workshops, clubs, community circles, retreats, educational offerings, and services are intended exclusively for individuals who are at least eighteen (18) years of age.

We do not knowingly collect information from children under the age of eighteen.

If we become aware that information relating to a person under eighteen has been submitted, we reserve the right to remove such information without notice.

INFORMATION WE MAY COLLECT

The information we collect depends upon the nature of your interaction with the Organization.

We may collect identifying information such as your name, email address, telephone number, mailing address, city, state, country, and other contact information voluntarily provided by you.

We may collect registration information when you register for conferences, workshops, educational events, community circles, awareness sessions, retreats, webinars, or other activities.

We may collect communications that you voluntarily send to us through email, online forms, surveys, registration forms, applications, event submissions, feedback forms, or direct correspondence.

We may also collect information voluntarily submitted by participants regarding personal experiences, reflections, observations, awareness journeys, testimonials, stories, feedback, comments, educational insights, learning outcomes, and community participation.

The Organization may additionally collect audio recordings, video recordings, photographs, screenshots, interviews, presentations, discussions, participant interactions, and other materials created during conferences, workshops, meetings, circles, events, or educational activities.

The Organization does not intentionally collect sensitive medical records, psychiatric records, clinical treatment information, or protected healthcare information.

Participants are strongly encouraged not to disclose medical, psychiatric, therapeutic, legal, financial, or similarly sensitive information in public or group settings.

HOW INFORMATION IS COLLECTED

Information may be collected directly from participants when they register for programs, attend events, complete forms, submit applications, communicate with the Organization, participate in discussions, provide testimonials, contribute written materials, or voluntarily share experiences.

Information may also be generated through participation in Organization activities, including attendance at conferences, workshops, educational programs, awareness circles, virtual sessions, and in-person gatherings.

Where recordings are made, information may be collected through audio, video, photographic, and written documentation processes.

PURPOSES FOR WHICH INFORMATION MAY BE USED

Information collected by the Organization may be used for a variety of legitimate charitable, educational, administrative, operational, governance, public-benefit, and awareness-related purposes.

These purposes may include participant registration, event administration, communication regarding programs, scheduling activities, responding to inquiries, educational development, volunteer coordination, organizational governance, quality assurance, historical preservation, research activities, awareness initiatives, community engagement, reporting, fundraising support, publication development, training, leadership development, and organizational improvement.

Information may also be used to understand how programs are functioning, evaluate educational effectiveness, identify opportunities for improvement, and strengthen future initiatives.

The Organization reserves the right to use participant-provided information for purposes reasonably related to its mission and charitable objectives.

EXPERIENCE SHARING, REFLECTIONS, TESTIMONIALS, AND COMMUNITY SUBMISSIONS

One of the unique characteristics of the Organization’s activities is the voluntary sharing of personal experiences, reflections, observations, insights, and testimonials.

Participants acknowledge that any information voluntarily shared with the Organization may be retained, documented, summarized, quoted, referenced, archived, analyzed, studied, incorporated into educational materials, utilized for awareness initiatives, included in publications, used in research activities, or otherwise employed in furtherance of the Organization’s charitable and educational mission.

Such use shall remain subject to any publication preferences selected by the participant.

The Organization does not guarantee that every experience submitted will be published, reviewed, acknowledged, or retained.

RECORDINGS AND MEDIA MATERIALS

The Organization may record conferences, workshops, awareness sessions, community circles, educational programs, meetings, webinars, retreats, presentations, interviews, discussions, and other activities.

Participants understand that attendance at such activities may result in their voice, image, likeness, statements, comments, questions, participation, presentations, or other contributions being captured through audio recordings, video recordings, photographs, screenshots, transcripts, or similar media.

Such recordings may be retained indefinitely and may be used for educational, archival, research, training, quality assurance, governance, awareness, historical, documentary, promotional, and charitable purposes.

The Organization reserves the right to edit, reproduce, publish, distribute, display, archive, transmit, and otherwise utilize such materials consistent with applicable participant consents.

RESEARCH, EDUCATIONAL, AND AWARENESS ACTIVITIES

The Organization may engage in educational, observational, awareness-based, reflective, charitable, and research-related initiatives designed to further understanding of human development, consciousness, community engagement, learning processes, awareness practices, reflective inquiry, and related subjects.

Information provided by participants may be aggregated, anonymized, analyzed, summarized, categorized, studied, incorporated into educational content, or used for organizational research and public-benefit purposes.

The Organization shall not be obligated to compensate participants for such uses.

PARTICIPANT PUBLICATION PREFERENCES

Where publication of participant experiences, reflections, testimonials, or stories is contemplated, participants may select one of the following preferences:

Publish anonymously only.

Publish using first name only.

Publish using full name.

Do not publish.

The Organization will make commercially reasonable efforts to honor the participant’s selected preference.

However, participants acknowledge that materials previously published, distributed, archived, reproduced, or disseminated may not always be capable of complete withdrawal or removal.

INTERNATIONAL PARTICIPANTS

The Organization conducts activities involving participants located in various countries throughout the world.

By participating in Organization activities, individuals located outside the United States expressly consent to the collection, transfer, storage, processing, use, publication, and retention of information within the United States and other jurisdictions where the Organization may conduct activities.

RETENTION OF INFORMATION

The Organization may retain information, communications, recordings, experiences, testimonials, submissions, educational materials, research materials, governance records, historical archives, and related content for as long as the Organization determines appropriate for legitimate charitable, educational, legal, operational, governance, historical, research, archival, compliance, or organizational purposes.

NO GUARANTEE OF CONFIDENTIALITY

The Organization takes reasonable measures to administer information responsibly. However, participation in community discussions, awareness circles, workshops, conferences, educational activities, and group environments necessarily involves interaction with other individuals.

Accordingly, the Organization cannot guarantee confidentiality of information voluntarily disclosed by participants during group interactions.

Participants assume responsibility for determining what information they choose to disclose.

THIRD-PARTY PLATFORMS

The Organization may conduct activities using third-party communication, conferencing, registration, event management, collaboration, educational, survey, or community platforms.

The Organization is not responsible for the privacy practices, policies, security measures, terms, operations, or actions of such third parties.

Participants are encouraged to review the privacy policies of any third-party platform they utilize.

POLICY MODIFICATIONS

The Organization reserves the right to modify, amend, update, replace, or revise this Privacy Policy at any time.

Updated versions shall become effective upon posting unless otherwise specified.

Continued participation following publication of an updated policy constitutes acceptance of the revised version.
